Parent Volunteer Information
If you cannot fulfill the volunteer role you signed up for:
1) Find coverage - ask a friend, grandparent, babysitter, etc to fill in for you.
2. Notify Stephanie Hayes at [email protected] AND Sophie at [email protected] with the name of your replacement or if you are unable to find one.
Parent Volunteer Participation
As a "family team" we encourage and require participation of our parents in order to run efficient and successful meets. To reach this goal we implement a Parent Volunteer Policy that requires at least one member of every family on the team to volunteer actively for the Barracudas Swim Team. We have many volunteer positions to help fulfill each family's volunteer requirement. We require 5 "points" per family to be earned by the end of the regular season (this does not include Quals and Champs).
Be sure to sign in at the Volunteer Check-In table at each meet to earn your points!!
Those swimmers who qualify to swim at Quals and Champs will be required to volunteer at the post-season meets in addition to their points during the regular season. Job sign-ups for those will open up at a later date.
When you register your swimmer(s), you will be asked to indicate the meets at which you can work, as well as your preferred volunteer position. Parents who are unable to volunteer may pay a Volunteer Waiver Fee of $200 per swimmer, or $400 max per family prior to the start of the season. If you choose to volunteer, but do not complete the volunteer requirements, you will be required to pay a fee. Those families whose swimmers qualify to swim at Quals and Champs (even if you chose to opt out) will be required to volunteer at the post-season meets.
If you would like to volunteer but it is impossible for your family to achieve all the points, please email Sophie as she is happy to work with you.
Parent Volunteer Job Descriptions
Age Group Parent: THIS IS AN IMPORTANT JOB AND FOR EXPERIANCED PARENTS ONLY!!! 1-2 Volunteers are needed in each gender and age group for each meet. Age group parents are expected to keep their age group together, line the swimmers from their age group up for their events, take them to the start of their race and make sure they start their race in the correct lane at the correct time. This person will be provided with an attendance sheet at the beginning of each meet that has all of the swimmers names and the events that they are in that night. Many find it helpful to write the swimmers name on their back and the events that they are in on their arm in permanent marker. They are to check all of their swimmers in and report to the Coach if a swimmer is not in attendance.
Announcer: The meet announcer gives general announcements as well as announces the start of each event and heat. Swim experience is not necessary but helpful.
Awards: 1 volunteer for the season - this person will earn the entire point volunteer requirement. This person takes the labels that the computer person prints for them, places them on ribbons and sorts the ribbons into our team boxes for swimmers to receive later. This is a very rewarding job! Swimmers love to receive their ribbons.
Break Down/Clean Up: This team aides in breaking down meets. We have a lead volunteer, _______, who will lead break down. This crew will organize the deck post swim meet, set chairs up in the correct position, get bleachers & tents put away, and put away all post-age group signs and anything that is needed for the meet. There is a check list provided above.
Computer Data & Entry Support (Certified): Louisville Swim Association (LSA) offers training for this position. During home meets, this volunteer inputs meet results into the computer, scores the results and posts results on a wall for spectators to view. This shift starts before the meet starts and ends after the meet ends and therefore, earns a higher point value. We need at least 3 volunteers willing to learn this position for the season.
Floater: Deliver timer sheets from Timers to Computer Table. Posts event results.
Haul Tents: This volunteer needs a large vehicle/truck to bring pop-up tents to away meets. Coordinate with Molly on tent pickup and drop off.
Set Up: This team aides in setting up for home meets. We have a lead volunteer, Amber Robinson, who will lead set up. This crew will organize the deck for the swim meet, set chairs up in the correct position, get bleachers & tents set up, post-age group signs and anything that is needed pre-meet. There is a check list provided above.
Social Committee: We need 4 parents to form a committee who are willing to organize all social events for the swim team. The Social Committee Lead Volunteer, Heather Kinnaird, will lead the team to discuss and implement ideas. This team will creatively fundraise for social events and run the events as they arise. Key social events include: Kickoff party, Pep Rally and end of season Banquet. This will earn you 4 points of the your required points for the season.
Starter: At home meets only, the Starter determines that all lanes are properly filled with eligible swimmers for the event and all swimmers are in proper start position. He/she starts each event with whistle or air horn. Some swim experience is helpful but not necessary.
Stroke and Turn Judge (Certified): Louisville Swim Association (LSA) offers a quick and easy official training session that teaches you how to fulfill this position. Volunteer needs to be familiar with the different swimming strokes. We need 2 officials for each meet, so at least 6 parents willing to fill this position.

Swimmer Check-In: This person arrives early for a 2 hour shift and checks-in all swimmers. They will then report to the Head Coach of any missing swimmers.
Timer Assistant: Assistant Timer uses extra stopwatches to help timers if they make an error. This timer also assists timers with breaks or supplies they may need.
Timer: This is an easy job for those with little swim experience! We need at least 12 timers per meet. Timers sit at the end of the lanes and time the races with a provided stopwatch. They check the swimmers name against the swimmer on the sheet provided and write down the time that the swimmer achieved. Timers get a front row seat to watch the meet and must pay attention during their entire shift.
